How to write a professional email
GOAL
Write clear, respectful emails that make it easy for others to understand and act.
STRUCTURE
Use a specific subject line, greet the recipient, state the purpose early, provide necessary context, list requested actions, and include a clear deadline when relevant.
TONE
Be concise, courteous, and direct. Avoid sarcasm, blame, all caps, and vague urgency.
BEFORE SENDING
Check the recipients, attachments, spelling, dates, and whether the message should be email at all. Sensitive, emotional, or complex topics may be better handled by a call or meeting.
GOOD PRACTICE
Put the main request in the first few lines. Long background belongs below the request, not above it.
